Retail Management
Run suppliers, purchase orders, commissions, and retail reports
Overview
Retail covers the full lifecycle of physical products sold alongside services: sourcing from suppliers, receiving stock via purchase orders, paying staff commissions on sales, and reporting on product performance.

Suppliers
Supplier records hold the name, contact info, and payment terms for each vendor. When you create a purchase order, you select the supplier it belongs to.
Purchase Orders
A PO moves through these states: draft → submitted → confirmed → partial (partially received) → received → closed. You can also cancel a PO at any stage before it is closed.
When a PO is marked received, stock levels update automatically for the relevant products and locations.
Commissions
Commissions let you pay staff a percentage or fixed amount for each retail product they sell.
Commission Types
- Percentage -- a percentage of the product sale price (e.g., 10%)
- Fixed -- a flat amount per unit sold (e.g., $5 per bottle)
- Tiered -- percentage increases as monthly sales volume climbs
Commission Scope
Structures can apply to:
- All products -- a blanket rate for the staff member across all retail
- Category -- applies only to products in a specific category
- Brand -- applies only to products from a specific brand
- Product -- applies only to a single product
Priority Order
When multiple structures could apply to a sale, the system resolves them in this order:
- Staff-level override for that specific product (highest priority)
- Matching commission structures (most specific scope wins)
- Product's default commission rate
- 0% (no commission)
Staff Overrides
You can set a product-specific commission rate per staff member that overrides all structures. Useful for promotional incentives or negotiated rates for senior staff.
Commission Payouts
Commissions accumulate as pending until you approve and pay them out.
Payout workflow:
- Review pending commissions in the Commissions tab
- Select commissions to include and click Create Payout
- Payout moves to draft -- review the total
- Approve the payout -- status moves to approved
- Mark as paid once payment is made outside the system -- status moves to paid
Payout records use the format PAY-YYYY-0001 (year + sequential number). Each payout record stores the total amount, included staff, and line-item breakdown.
Retail Reports
Retail reports cover:
- Revenue -- gross retail sales by period
- Margin -- revenue minus COGS per product
- Staff performance -- units sold and commission earned per staff member
- Inventory alerts -- products at or below reorder threshold
- Supplier metrics -- PO volume and lead times per supplier
- COGS -- cost of goods based on purchase order unit costs
