Form Automations
Trigger alerts, review flags, booking restrictions, and notifications from form responses
What Are Automations?
Automations run automatically after a client submits a form. Each automation checks a trigger condition and executes an action if it matches.
Trigger Types
Field value - triggers when a specific field answer matches a condition. For example: "If 'Do you have allergies?' equals 'Yes'."
Any field value - triggers if any field in the form contains a specific word. Useful for open-text responses.
Submission complete - triggers every time the form is submitted, regardless of answers.
Actions
Add alert - adds a visible warning, info, or danger badge to the client profile. Staff see this on the client card and during booking.
Add note - creates an internal note attached to the client profile.
Block booking - prevents the client from booking until a condition is resolved. You can optionally require them to complete another form to lift the block.
Require staff review - flags the submission for manual review before the client can proceed.
Send notification - sends an email or SMS to the client, your staff, or both. The message uses your custom template text and is sent with your salon's branding.
Priority
Automations run in priority order (lowest number first). If multiple automations match, all matching ones execute.
Common Patterns
- Allergy flag: "If 'Do you have allergies?' = 'Yes' - add danger alert, require staff review"
- Health screening: "If any field contains 'pregnant' - add warning alert to profile"
- Post-intake reminder: "On submission complete - send notification to staff"
- Patch test requirement: "Block booking, unblock when 'Patch Test Consent' form is submitted"
